The Problem They Faced
OSDRs were slow, manual, and unreliable
CEM Alliance’s traditional Over Short Damages Report (OSDR) workflow created friction at the worst possible moment—when materials arrive and decisions need to be captured fast and accurately.
Contractors were required to fill out template documents (expected vs received quantities, damages, comments), duplicate information from delivery dockets, take photos separately, then convert everything into an electronic file and archive it in Share Drive.
That meant:
- Double-handling (writing the same information multiple times)
- Higher error rates from manual re-entry
- Inconsistent evidence (photos and notes not always linked clearly to the right delivery/item)
- Delayed reporting, which weakens claims, accountability, and follow-up actions
On top of that, once materials were on-site, storage location knowledge lived in people’s heads or scattered notes—making it painful to find items later, especially when time-critical construction work needed them.
What We Implemented
One capture on-site, searchable forever
To address the engagement challenges, we implemented a multi-faceted strategy. This included personalized content recommendations, interactive features, and a revamped user interface. By analyzing user behavior data, we tailored the experience to meet the needs of our audience. The results were remarkable, with a 30% increase in user engagement within three months.Piksort replaced the paperwork-heavy process with a single, simple on-site flow.
Contractors now:
- Annotate the delivery docket once to confirm received quantities
- If damage exists, capture photos immediately and add comments via tags in Piksort—on the spot, tied to the delivery
- No retyping, no chasing files, no separate “admin step” to digitise and upload later
This immediately delivered:
- Faster reporting with less friction on-site
- Fewer errors by removing manual transcription
- Stronger evidence because images, notes, and context are captured together in the moment
For CEM Alliance’s logistics team, Piksort also made it effortless to record short- and long-term storage locations of materials on-site. When construction teams needed an item, they could search the tagged materials in the portal and instantly see where it was stored, reducing delays, rework, and “where did that go?” downtime.
